1. Getting around

On a phone the app has four tabs at the bottom:

My Farm	Your farm at a glance, what needs attention, your farm's story (location, seed and variety per block), the farm map, your farm team, upcoming harvests and the crop calendar.
Records	Buttons at the top switch between Sprays and Fertilizer.
Ship	Post-harvest, Documents, Certificates and Readiness.

On a computer the same sections are listed down the left side. Agronomists, co-ops, packhouses, exporters and auditors see their own tabs (see section 11). The Guide item in the menu opens this page at the right section.

Tap Account at the top right (once you are signed in it shows your first name) for My farms, Switch role, Light / dark mode, your password and Sign out. EN / SW switches between English and Kiswahili.

2. Run a free check, no account needed

1. Choose your crop and the pesticide you sprayed (trade name, e.g. Karate, Tracer).
2. Days since last spray: tap 1, 3, 7, 14 or 21, or type the exact number.
3. Export market: EU, UK, US, Japan, UAE, Australia, Saudi Arabia or China.
4. Tap Check. The result appears below the form.

Check from the homepage or the Check tab in the app. Your last five checks stay on your phone so you can repeat one with a tap.

3. Read the result

Colour	What it means	What to do
Green	The label waiting period (PHI) has passed.	You may plan the harvest. Confirm with a lab test before a valuable shipment.
Amber	Wait longer, or the product needs caution: not approved in the market, restricted, or its limits were recently lowered.	Wait the days shown. For caution products, check the current limit and consider a safer option.
Red	Banned for that market.	Do not use it on crops for that market. Any residue can cause rejection.

Under every result, Limit source tells you where the residue limit came from and how old it is, e.g. EU Pesticides Database (our copy dated 22 Oct 2026). EU limits are updated automatically every week.

4. Scan a pesticide label

In the Check tab, tap Upload photo of pesticide label and photograph the front of the bottle, with the product name in focus. We read the name and ask "Is this right?". Tap Yes, use it or choose from the list yourself. The photo is used only for that scan and is not stored.

5. Sign in and password

Sign in with a code (first time)

1. In the app, tap Sign in at the top right.
2. Enter your phone number and email, then tap Send my code.
3. A 6-digit code arrives by email from codes@mail.africompliance.com. Check your spam folder the first time. Enter the code.

Save a password (so you don't wait for a code)

1. Sign in with a code first. You can only set a password while you are signed in.
2. Tap the Account button at the top right of the app. Once you are signed in it shows your first name, for example Jane.
3. A small Account panel opens. Find Password (optional), just above Sign out.
4. Type a new password in New password (8+ characters), then type it again in Repeat password. Do not use your phone number.
5. Tap Save password. You will see "Password saved. Next time you can sign in with it."

The panel also tells you whether you already have a password. To change it, open the same panel and save a new one.

Sign in with your password

1. Tap Sign in, then I have a password.
2. Enter your phone number or email and your password, then tap Sign in.

6. Your farm and farm code

1. Open My Farm and tap Register farm. Enter the farm name, country, crops and markets.
2. You get a farm code such as KE-8C5DW8. It is how other people connect to your farm: share it with your agronomist, co-op, packhouse or exporter. Nobody can see your records without it.
3. Have more than one farm? Tap the farm name at the top, or Account → My farms, to switch.

Blocks, seed and your farm's story

Buyers trust a potato they can trace. These details appear on the lot story behind your QR code.

1. Blocks: in My Farm → Crop calendar, add each block or greenhouse (e.g. A, GH-01) with its crop, then set its planting date in the list. Blocks you write on sprays appear here too.
2. Your farm's story: in My Farm, above Farm team, write where the farm is (e.g. Ol Kalou, Nyandarua) and a few words about how you farm. Tap Save farm story.
3. Seed and variety per block: in the same card, write the block, the variety (e.g. Shangi, Markies, Dutch Robjin), the seed source (certified seed, known supplier, farm-saved) and the seed lot or tag number. Tap Save seed for this block.

Map your farm and blocks

Draw the whole farm first, then each block inside it. Buyers, GLOBALG.A.P. auditors and, for coffee, EU deforestation rules ask where the crop grew.

1. In My Farm, find Farm map and tap Open the map.
2. Under Mapping, choose Farm boundary, a block, or + New block (write its name).
3. Walk the boundary: tap it, walk slowly around the edge with your phone, and tap Finish walking. The first time, allow location. Walk in the open: under trees or near buildings GPS is weaker. Or tap corners: tap each corner on the map in order; drag a corner to move it.
4. Tap Save. A green box confirms what was saved and its size in acres and hectares, then the map closes by itself and the Farm map card shows the saved area. Tap Map a block next in the box to carry on with the blocks instead. The app also fills in the farm's GPS point, its location (for example Ol Kalou, Nyandarua, if you had not typed one) and the acres of any block where acres were empty.
5. Read any warning on the card: a block outside the farm, two blocks that overlap, a mapped area far from the acres you typed, or weak GPS. Fix it by redrawing.

On a computer in the office: type the village or nearest town in Find, or paste the farm's coordinates (for example -0.2712, 36.3812; in Google Maps, right-click the farm and click the numbers to copy them). Zoom in close until you see the field edges, paths and trees, then click each corner. Drag a corner to fix it.

On your records: once a block is mapped, each new harvest record for that block shows its mapped area, centre point, how it was mapped and a boundary fingerprint (see Sample A). If the block is not mapped, the farm boundary is used. The full shape is not shown to the public; send the map file to your exporter when they ask for it.

Download map file gives a GeoJSON file of the farm and its blocks, with the area of each. Coffee exporters need it for the EU deforestation rules (EUDR): a plot over 4 hectares needs its full boundary. Only the farm, its team and linked partners can see the map; editors can change it. Weather and the spray check

Once the farm boundary is on the farm map, My Farm shows Weather on the farm for that spot:

• Spray now? Green: a good time to spray. Amber: spray with care (wind picking up, rain later, hot, or very still air). Red: not now (rain within 2 hours, strong wind or very hot).
• Best time to spray today, and the next 12 hours, hour by hour.
• Seven days of rain, temperature and wind, a warning before heavy rain, and the day each block becomes safe to harvest.

The spray form shows the same check at the top: If you spray now. It is a computer forecast from MET Norway and is guidance only. Follow the product label (some products need several dry hours after spraying) and what you see in the sky. For official warnings, see the Kenya Meteorological Department or your country's weather service.

7. Your farm team

Add the people who work on your farm (managers, supervisors, sprayers, scouts, QA staff) so they can record sprays and look at records on their own phones.

Add a team member (farm owner)

1. Open My Farm and tap Team (or scroll to Farm team).
2. Under Add a team member enter their name and phone number. They will sign in with this phone number.
3. Choose their role (farm manager, section supervisor, sprayer, scout, QA / compliance, records clerk, agronomist).
4. Choose their access: Editor or Viewer (see the table below). Optionally add their section, e.g. GH-01.
5. Tap Add team member.

Edit or remove a team member (farm owner)

• Tap Edit next to the person, change their name, phone, role, section or access, and tap Save. Leave the phone box empty to keep their current number.
• Changing the phone number moves access to the new number. The old number can no longer open the farm.
• To change only Editor or Viewer, use the drop-down next to their name.
• Tap Remove to take away their access straight away. Their past records stay on the farm.

If you are a team member

1. Ask the owner to add you with your phone number.
2. Open the app, tap Sign in, enter that same phone number and your own email, and enter the code.
3. The farm opens automatically. If you work on several farms, switch with Account → My farms.
4. Viewers can look but not change records. If you need to record sprays, ask the owner to make you an Editor.

8. Records

• Sprays: every check result has a Log this spray button that fills in the crop, product, market and date. Or tap + Log spray. Add the field or block (e.g. Block A) and who sprayed. The diary counts down each block's waiting period, and My Farm shows upcoming harvests. Tap PDF to download your spray records for an auditor or buyer.
• Fertilizer: record every application (field, product, rate, date, who applied). GLOBALG.A.P. requires it.
• Harvests: when you confirm a harvest, choose the block and enter the kg. The record then covers only that block's sprays, and its lot story shows that block's seed and variety.
• Lab results: in Ship → Certificates, under Lab residue results, enter each test from your lab report. They are compared with EU limits and shown on your record. They cannot be changed after saving.
• Water tests, workers and chemical store: in Ship → Documents, under the farm records tracker.

9. Ship and certificates

• Post-harvest: check dips, washes and wax treatments against market limits before packing.
• Documents: the document checklist for your market, and Who issues what for your farm's country (phytosanitary certificate, pesticide registration, exporter licence, customs and EU origin rules).
• Certificates: confirm a harvest and create a farm spray record, a PDF with a QR code. A buyer who scans it sees the record online, exactly as AfriCompliance holds it, and can open the lot story from it. It is your own record, not a laboratory test or an official certificate. Each record card has four buttons: View certificate, Download PDF, Lot story and Add a step. See a sample record.
• Readiness: 20 questions before a GLOBALG.A.P. audit, with a score and a fix-it list. Download the pre-audit report for your auditor.

10. Lot journey: from your farm to the buyer

Every record has a public lot story page: africompliance.com/lot/ followed by the record number. It shows the lot from planting to the buyer: the block, variety and seed, how it was grown, the harvest, and every step after harvest. Buyers open it from the QR code or from the record page link See the journey of this lot.

Add a step after harvest

1. Open Ship → Certificates and find the record of the lot.
2. Tap Add a step. The steps already added are listed under After harvest.
3. Choose the step: collected by aggregator or broker, received at store, received at packhouse, graded and packed, transported, delivered to buyer, received by processor, at market or shop, or other.
4. Enter the date, who (business name), where, the kg and a note if needed. Tap Add this step.
5. Tap Lot story to see the page the buyer sees.

11. Agronomists, co-ops, packhouses, exporters and auditors

Choose your role when you sign in, or later with Account → Switch role. You connect to farms with their farm code, which the farmer gives you. You can see their records, but only the farm and its team can change them.

12. Country guides

Exporting from Kenya, Uganda, Tanzania, Rwanda, Ethiopia or Burundi? The country guides show who issues the phytosanitary certificate, who registers pesticides, how to become an exporter and how duty-free access to the EU works. Each guide lists the one-time registrations, the documents for every shipment and the extra rules for some crops.

13. Samples: what a buyer sees

These two samples use made-up details (farm, people, record numbers and lab) so you can see what a buyer gets when they scan your QR code. The products and waiting periods are the ones the app uses for these crops.

Words to know

Term	Meaning
PHI	Pre-harvest interval: minimum days between the last spray and harvest, from the product label.
MRL	Maximum residue level: the most residue a market accepts on a crop, in mg/kg.
LOQ	Limit of quantification: the lowest amount a lab can measure. For banned products the limit is often set here, which in practice means any residue.
Phyto	Phytosanitary certificate, issued for each consignment by your country's plant health authority (KEPHIS in Kenya).
Farm code	Your farm's share code, e.g. KE-8C5DW8. Give it only to people you want to see your records.
Lot	One harvest from one block, with its own record number and QR code.
Lot story	The public page that shows a lot's journey from planting to the buyer.
Boundary	The edge of the farm or a block, drawn on the farm map.
GeoJSON	A standard map file. The farm map downloads in this format.
Boundary fingerprint	A code made from the mapped shape when a record is created. If the shape is redrawn later, the code no longer matches.
EUDR	EU deforestation rules for coffee, cocoa, cattle, palm oil, rubber, soya and wood: buyers must show where the crop grew and that no forest was cleared after 2020.

5. Kuingia na nenosiri

Ingia kwa msimbo (mara ya kwanza)

1. Kwenye programu, gusa Sign in juu kulia.
2. Weka nambari ya simu na barua pepe, kisha gusa Nitumie msimbo.
3. Msimbo wa tarakimu 6 unakuja kwa barua pepe kutoka codes@mail.africompliance.com. Mara ya kwanza angalia folda ya spam. Weka msimbo.

Hifadhi nenosiri (usisubiri msimbo)

1. Ingia kwa msimbo kwanza. Unaweza kuweka nenosiri ukiwa umeingia tu.
2. Gusa kitufe cha Account juu kulia mwa programu. Ukishaingia kinaonyesha jina lako la kwanza, k.m. Jane.
3. Kisanduku kidogo cha Akaunti kinafunguka. Tafuta Nenosiri (si lazima), juu kidogo ya Toka.
4. Andika nenosiri jipya kwenye Nenosiri jipya (herufi 8+), kisha liandike tena kwenye Rudia nenosiri. Usitumie nambari yako ya simu.

6. Shamba lako na msimbo wa shamba

1. Fungua Shamba na gusa Register farm. Weka jina la shamba, nchi, mazao na masoko.
2. Utapata msimbo wa shamba kama KE-8C5DW8. Ndio njia watu wengine wanaunganishwa na shamba lako: mpe mtaalamu wako wa kilimo, chama, packhouse au msafirishaji. Hakuna anayeweza kuona rekodi zako bila msimbo huu.
3. Una shamba zaidi ya moja? Gusa jina la shamba juu, au Account → Mashamba yangu.

Vitalu, mbegu na hadithi ya shamba lako

Wanunuzi wanaamini viazi wanavyoweza kufuatilia. Taarifa hizi zinaonekana kwenye hadithi ya kundi nyuma ya QR yako.

Weka shamba na vitalu kwenye ramani

5. Soma tahadhari yoyote kwenye kisanduku: kitalu nje ya shamba, vitalu viwili vinavyoingiliana, ukubwa tofauti na ekari ulizoandika, au GPS dhaifu. Rekebisha kwa kuchora upya.

Kwenye kompyuta ofisini: andika kijiji au mji wa karibu kwenye Tafuta, au bandika viwianishi vya shamba (kwa mfano -0.2712, 36.3812; kwenye Google Maps, bofya kulia juu ya shamba na ubofye namba ili kuzinakili). Vuta karibu hadi uone kingo za shamba, njia na miti, kisha bofya kila pembe. Buruta pembe kuirekebisha.

Kwenye rekodi zako: kitalu kikishawekwa kwenye ramani, kila rekodi mpya ya mavuno ya kitalu hicho inaonyesha eneo lililopimwa, kitovu, jinsi kilivyopimwa na alama ya mpaka (ona Mfano A). Kitalu kisipowekwa, mpaka wa shamba unatumika. Umbo kamili halionyeshwi kwa umma; mtumie msafirishaji wako faili la ramani akiliomba.

Pakua faili la ramani linakupa faili la GeoJSON la shamba na vitalu vyake, na ukubwa wa kila kimoja. Wasafirishaji wa kahawa wanalihitaji kwa sheria za EU za ukataji miti (EUDR): shamba la zaidi ya hekta 4 linahitaji mpaka kamili. Shamba, timu yake na washirika walioungana pekee ndio wanaona ramani; wahariri wanaweza kuibadilisha. Ona mazao yanayohusika na EUDR.

Hali ya hewa na ukaguzi wa kupulizia

Mpaka wa shamba ukishawekwa kwenye ramani, Shamba linaonyesha Hali ya hewa shambani kwa mahali hapo:

• Kupulizia sasa? Kijani: wakati mzuri wa kupulizia. Njano: pulizia kwa tahadhari (upepo unaongezeka, mvua baadaye, joto, au hewa imetulia sana). Nyekundu: si sasa (mvua ndani ya saa 2, upepo mkali au joto kali).
• Wakati bora wa kupulizia leo, na saa 12 zijazo, saa kwa saa.
• Siku saba za mvua, joto na upepo, tahadhari kabla ya mvua kubwa, na siku kila kitalu kinapokuwa salama kuvuna.

Fomu ya kupulizia inaonyesha ukaguzi huo juu: Ukipulizia sasa. Ni utabiri wa kompyuta kutoka MET Norway na ni mwongozo tu. Fuata lebo ya dawa (baadhi ya dawa zinahitaji saa kadhaa bila mvua baada ya kupulizia) na unachokiona angani. Kwa tahadhari rasmi, ona Idara ya Hali ya Hewa ya Kenya au idara ya hali ya hewa ya nchi yako.

7. Timu ya shamba

Ongeza watu wanaofanya kazi shambani kwako (mameneja, wasimamizi, wapuliziaji dawa, skauti, wafanyakazi wa ubora) ili warekodi dawa na waone rekodi kwenye simu zao.

1. Fungua Shamba na gusa Timu (au shuka hadi Timu ya shamba).
2. Chini ya Ongeza mwanatimu weka jina na nambari ya simu. Ataingia kwa nambari hii.
3. Chagua jukumu lake na ruhusa: Mhariri au Mtazamaji. Hiari: weka sehemu, k.m. GH-01.

• Ukibadilisha nambari ya simu, ruhusa inahamia nambari mpya. Nambari ya zamani haiwezi tena kufungua shamba.
• Gusa Ondoa kumwondolea ruhusa mara moja. Rekodi zake za zamani zinabaki shambani.

Kama wewe ni mwanatimu

1. Mwombe mmiliki akuongeze kwa nambari yako ya simu.
2. Fungua programu, gusa Sign in, weka nambari hiyo hiyo na barua pepe yako, kisha weka msimbo.

8. Rekodi

• Dawa: kila jibu la ukaguzi lina kitufe cha Rekodi upuliziaji huu. Au gusa + Log spray. Ongeza kitalu (k.m. Kitalu A) na aliyepulizia. Diary inahesabu muda wa kusubiri wa kila kitalu. Gusa PDF kupakua rekodi za dawa kwa mkaguzi au mnunuzi.
• Mbolea: rekodi kila matumizi (kitalu, bidhaa, kiasi, tarehe, aliyeweka). GLOBALG.A.P. inaitaka.
• Mavuno: unapothibitisha mavuno, chagua kitalu na uweke kilo. Rekodi inahusu dawa za kitalu hicho tu, na hadithi ya kundi inaonyesha mbegu na aina ya kitalu hicho.
• Matokeo ya maabara: kwenye Safirisha → Vyeti, chini ya Lab residue results, weka kila kipimo kutoka ripoti ya maabara. Yanalinganishwa na vikomo vya EU na kuonyeshwa kwenye rekodi yako. Hayawezi kubadilishwa baada ya kuhifadhi.
• Vipimo vya maji, wafanyakazi na stoo ya kemikali: kwenye Safirisha → Hati.

9. Safirisha na vyeti

• Baada ya mavuno: kagua dawa za kuchovya, kuosha na nta kabla ya kufungasha.
• Hati: orodha ya nyaraka za soko lako, na Nani anatoa nini kwa nchi ya shamba lako.
• Vyeti: thibitisha mavuno na utengeneze rekodi ya dawa ya shamba, PDF yenye msimbo wa QR. Mnunuzi akiiskani anaona rekodi mtandaoni na anaweza kufungua hadithi ya kundi. Ni rekodi yako mwenyewe, si kipimo cha maabara wala cheti rasmi. Kila rekodi ina vitufe vinne: View certificate, Download PDF, Hadithi ya kundi na Ongeza hatua. Ona mfano wa rekodi.
• Utayari: maswali 20 kabla ya ukaguzi wa GLOBALG.A.P., na alama na orodha ya marekebisho.

10. Safari ya kundi: kutoka shambani hadi kwa mnunuzi

Kila rekodi ina ukurasa wa umma wa hadithi ya kundi: africompliance.com/lot/ ikifuatwa na namba ya rekodi. Unaonyesha kundi kutoka kupandwa hadi kwa mnunuzi: kitalu, aina na mbegu, jinsi lilivyokuzwa, mavuno, na kila hatua baada ya mavuno. Wanunuzi wanaufungua kutoka QR au kiungo See the journey of this lot kwenye rekodi.

Ongeza hatua baada ya mavuno

1. Fungua Safirisha → Vyeti na utafute rekodi ya kundi.
2. Gusa Ongeza hatua. Hatua zilizoongezwa zinaonekana chini ya Baada ya mavuno.
3. Chagua hatua: imekusanywa na mkusanyaji au dalali, imepokelewa ghalani, imepokelewa packhouse, imepangwa na kufungwa, imesafirishwa, imefikishwa kwa mnunuzi, imepokelewa na kiwanda, sokoni au dukani, au nyingine.

11. Wataalamu wa kilimo, vyama, packhouse, wasafirishaji na wakaguzi

Chagua jukumu lako unapoingia, au baadaye kwa Account → Badilisha jukumu. Unaunganishwa na mashamba kwa msimbo wa shamba anaoukupa mkulima. Unaweza kuona rekodi zao, lakini shamba na timu yake pekee ndio wanaweza kuzibadilisha.

12. Miongozo ya nchi

Unasafirisha kutoka Kenya, Uganda, Tanzania, Rwanda, Ethiopia au Burundi? Miongozo ya nchi inaonyesha nani anatoa cheti cha afya ya mimea, nani anasajili dawa, jinsi ya kuwa msafirishaji na jinsi soko la EU lisilo na ushuru linavyofanya kazi.

13. Mifano: anachoona mnunuzi

Mifano hii miwili inatumia taarifa za kubuni (shamba, watu, namba za rekodi na maabara) ili uone mnunuzi anapata nini akiskani QR yako. Dawa na muda wa kusubiri ni zile programu inazotumia kwa mazao haya.
